Why Jobs Get Stuck  and How to Get Paid Faster – Air Conditioning

When the right information comes through, we process and pay jobs fast, often ahead of our usual turnarounds. But sometimes, jobs stall because we’re missing the information we need to move forward.

Below, you’ll find the most common reasons AC jobs get delayed and tips on how to avoid them.

Missing Invoice or Proof of Payment

These aren’t mandatory to push the job through to us for first assessment, but sending them as soon as you can helps us pay claims faster.

  • Make sure your invoice lists the installation date and model numbers.

  • If you’re on-site with access to an invoice, snap a photo of it and upload it with your Dataforce photos

Missing NMI (National Meter Identifier)

This one hurts. Missing NMIs can cost you $200+ in lost PRC payments!

  • Always collect an electricity bill first (best evidence).

  • If that’s not possible, take a geotagged photo of the switchboard meter.

    Bonus tip: train your installers to collect both, just in case!

Electrician Licence Details

Every job must have a licensed electrician and Air Conditioner installer to complete a new or replacement AC installation.

In the app, answer this question accurately:“Does the installer of this job hold an Electrician’s Licence?” – The installer is the person at the site with an Air Conditioning Licence.

  • They should carry both an ARCTICK licence and a NSW Government licence from Fair Trading.

  • If the AC installer doesn’t hold an electricians licence, please upload the CCEW or confirm the licensed electrician’s details in Dataforce.
    Missing this step triggers manual checks and slows everything down.

Photo of the Installed Unit

  • Take a clear photo of the completed outdoor unit installed — no cables dangling or tools in frame!

    Auditors love a tidy install shot that shows the work fully complete.
